This page explains what this website stores when you use its forms, and what it does not collect at all.
Last updated 25 October 2026. Consent wording version 2026-10-20.2.
Who we are
This website is run by Cogent Systems. In this page, "we" and "us" mean Cogent Systems.
The short version
- This site sets no cookies and runs no analytics, tracking pixels or advertising.
- Every page, font, script and image comes from this site. Nothing is loaded from other companies' servers.
- The forms store only what you type, plus two small pieces of technical information explained below.
- We do not sell your details or share them for marketing.
What the contact form stores
When you send a message through the contact form, we store your name and email address, your organisation if you gave one, what the message is about, the message itself, that you agreed to the consent statement, which version of the wording you saw, and when. A person reads the form and replies by email. This site does not send email.
What the beta form stores
When you register for the beta or a firm trial, we store:
- whether you registered for a firm trial or as an individual beta tester;
- your name and email address;
- your firm or organisation, if you gave one;
- your role, the products you chose, your firm size band and where you mainly practise;
- your message, if you wrote one (please do not include client or matter information);
- that you agreed to the consent statement, which version of the wording you saw, and when you registered.
What the updates form stores
Your email address, that you agreed to receive updates, which version of the wording you saw, and when.
Technical information stored with each registration
- A scrambled form of your internet address. We do not store your IP address. We store a one-way hash of it, made with a secret key unique to this website's installation. We use it to limit repeated submissions and to spot abuse. Without that secret key the hash cannot be matched back to an address.
- Your browser family only, for example "Firefox" or "Safari". We do not store the browser version, your device or the full browser identification string.
To stop automated spam, the forms also contain a hidden field that people do not see and a time check. Neither stores anything about you.
What we do not collect
- No cookies, tracking identifiers or fingerprinting.
- The only thing this site keeps in your browser is your choice of colour theme (system, light, dark or high contrast), and only if you change it from the menu. It stays on your device in the browser's local storage and is never sent to us.
- No third-party analytics, fonts, maps, videos or social media widgets.
- This website's own application does not write your IP address to its logs. The security gateway in front of the site keeps a minimal access log for security: your IP address, the page you asked for without anything after a question mark, the result and the time. It never records what you type into a form, and our security monitoring reads that log only to detect attacks. The cloud provider we rent the server from may keep its own network records.
Why we use your details
- Beta form: to contact you about the beta and firm trials, and to understand which products and practice types are interested.
- Updates form: to email you product updates.
- Contact form: so a person can read your message and reply by email.
We do not use your details for anything else. We do not yet use an email delivery service; if we start using one to contact you, we will name it on this page first.
Emails we send
We do not send email yet. When we do, we will email you only if you ticked the consent box on one of our forms, and every email from us will:
- say that it comes from Cogent Systems, with our business name and how to contact us;
- include a clear way to unsubscribe that costs nothing and does not ask you to sign in or give more details, and keeps working for at least 30 days after the email is sent.
We act on an unsubscribe request within five working days. These are the rules of the Spam Act 2003 (Cth), which the Australian Communications and Media Authority enforces.
Where your details are kept
Registrations are kept in a file on a server in Sydney, Australia, which we rent from a cloud provider and administer ourselves. Only we can read it.
How long we keep them
Until the beta and trial program ends, or sooner if you ask us to delete them. Update subscriptions are kept until you ask to be removed.
Your choices
You can ask to see, correct or delete the details we hold about you, or to stop receiving updates. Use the contact form for complaints and access requests.
If you are not happy with how we handle a privacy request or complaint, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this page
If we change what we collect, we will update this page and the consent wording version shown above before the change takes effect.
